PATIENCE AND FAITH ARE OUR BEST FRIENDS

I wish i could remember where i found this, but it definitely speaks to me so I wanted to share it again.

“No one can determine the final destination of our life’s journey. Therefore, the next best thing to do is to keep our cool and have faith in ourselves. Whenever I feel I am detouring from my destiny, I try to remind myself that my journey is my path. It’s a journey full of peaks and valleys, sunshine, and rain. This faith allows me to explore unchartered territory with confidence. I am at ease to fail forward. Because even when we fail, we do not lose it all—we can learn valuable lessons, and build the foundation for our next chapter.”

Keeping a can-do attitude helps us to never give up on ourselves. It allows us to recharge, reinvest, and reinvent ourselves by melting down our fear.

And that’s how I will start 2017!

Looking at how we put these ideas into action, here is what I hope the DMAI team can do.

We can continue to look at each business line to make sure its running optimally. Often we focus our energy just on what’s broken, and rarely focus on what’s working. We lost track of the fact that just because its working, doesn’t mean it’s optimal.

We can demand more from people. Allowing mediocrity to become the norm is a sure sign we have lost our passion to improve ourselves and our business.

We can document more. We can share the documentation more. We can use the documentation as a living, evolving part of the business that will keep things innovative and forward looking.

We can set tactical goals. We can reward ourselves to celebrate these successes. And we can use these successes to springboard us to the next tactical goal as we string together success after success towards out ultimate strategic goal. Be the name brand in analytics here in the Philippines.

Adding Value

One of the keys to my success is that I make sure to add value to what ever it is I am doing.

As an analyst, putting in a little extra time to make sure I had the right data to answer questions. In addition, I’d not just answer the question, I’d get into the head of the person who wanted my analysis and think about what new questions they might have and answer them too. I’d always be one step ahead and that added a lot of value to the business.

As a manager, I always look at each team member in terms of how much and what kind of value can they add to the business both now and long term. In each of my interactions, even the “negatives” can be used to add value long term to that persons career development as well as to the business.

As a businessman, I look at what we can do to add value to the life and well beings of our customers. What kind of training or analysis work can we provide to help them be more successful and add value in what ever it is they do.

Adding value is something that is not just a catch phrase or a motto… its something deeply ingrained in who I am as a person and what my company DMAIPH stands for.

Adding value is not just about customer service, integrity, professionalism or things like that… to me its about doing the making the world a better place one interaction at a time.

What Kind Of Analyst Do You Want To Be?

An ANALYST is a person who analyzes and is skilled in analysis. Business Analysts (BA) are required to find, analyze and report business data to support business optimization.

The job functions of an analyst very greatly from business to business and even within each business job functions can vary from analyst to analyst. However at their core, you will find that just about anyone with analyst in the title has several things in common.

Based on the book, the Accidental Analyst, four character traits that most analysts have are:

  • PASSION for helping people solve real problems
  • KNOWLEDGE of the business being analyzed
  • EXPOSURE to thinking analytically and problem solving tools
  • EXPERIENCE using data to solve problems

In addition most analysts have certain personality types:

  • reflective
  • intuitive
  • deep-thinkers
  • and able to make quick judgments

These findings show a consistency across analysts no matter if their focus in on reporting, analysis and/or research, if they are working with small structured data sets or volumes of unstructured big data or if they are actively working to optimize the business or just providing information.

Why We Need Business Analysts! > The Philippines Is Quickly Becoming A Hub For Analytics

Most business leaders know that they need more analytics based decision making in their operations, however few have figured out how to obtain it as analytics software or engaging high priced consultants doesn’t suffice.

Businesses are challenged with endless streams of data of immense volume, variety and velocity coming from global marketplaces and from a multitude of social media platforms that didn’t exist until recently.

Per CHED, Business analytics is essentially about:

  • providing better insights;
  • particularly from extensive use of operational data stored in transactional systems;
  • statistical and quantitative analyses;
  • explanatory and predictive modeling;
  • facts-based management;
  • to drive decision-making for optimal results

Dictionary.com defines insight as “an instance of apprehending the true nature of a thing, especially through intuitive understanding.” Business Analytics allows a business to get the cause of something, to find an explanation or a reason that something has happened.

BA is also very useful to understand who, where, why, how and in what way customers interact with the business. BA lets us know who the customers are based on demographic breakdowns like age, sex, education level, etc. BA tells us how much of what product is bought, where the product is bought from, how often it is bought. And BA brings us insights into why the product was bought.

Business analytics has long been used to understand things like which sales person is the most successful or which market is the most profitable by looking at the operational data stored in the transactional systems of that business.

Just about every business has at least some basic way of calculating profit, validating inventory and measuring success. These transactional data points are generally housed in a data storage system that can be accessed to view reports. This is the core of business analytics.

BA gets a lot more insightful when business decision-makers have the ability to look at statistical and quantitative analysis of that data. Often this is not only done by the decision-makers, but by analysts who can dedicate more time to discovering, investigating and analyzing the data.

Businesses that are able to employ even more advanced analytics by using data models. In the hands of a good analyst, models allow one to quickly and easily adjust the analysis based on using different variables. Building models is especially important when working with large data sets or what’s called Big Data. Models also let analysts not only look backwards at what has happened, but allows analysts to look into the future.

When you look at any successful business, odds are that they have solid business analytics in place. The leadership team is generally provided with reports that allow a fact-based management of the business. As opposed to businesses that are run based on intuition or gut feel, businesses that invest in analytics generally make better decisions.

In the hypercompetitive global market of today, even the smallest and most simple businesses need some level of business analytics to be able to make smart choices to optimize results and be successful.

Database quality now has an unprecedented impact on the success of Big Data initiatives. To ensure that these databases are as productive as possible, Marketers must maintain good data hygiene.

Five steps for cleaner data:

1) Make sure your data entry team is keying in data accurately in the first place.  Make the data entry team a priority.

2) Incentivize your sales team, call-center squad and other customer facing employees to regularly request updated contact information and other data from the customers they encounter.

3) Use available software, such as Trillium, to streamline the process of cleansing, correcting and updating email and postal addresses.

4) Allow customers access to their records so they can help keep them accurate.  Consider offering discounts as an incentive for customers to participate.

5) Regularly contact customers, either via phone or email, to update records.  This approach is critical with the most important accounts.

Having clean data is very, very important.

I have my admin team refresh my connection data on LinkedIn on a regular basis so our mailings lists stay up to date.

We also have audits of our client pipeline to make sure all relevant applicant data is captured for analysis.

Make sure you put some thought into how to keep your data clean!

Looking More Closely At The CHED Memorandum on Business Analytics

Looking closer at the course description for the Fundamentals of Business Analytics course published by CHED in 2013. Amazing how closely it matches to the Intro to Analytics training i have been doing since 2012 when I founded BPO Elite.

The course provides students with an overview of the current trends in business analytics that drives today’s businesses. The course will provide understanding on data management techniques that can help and organization to achieve its business goals and address operational challenges.

Learning Outcomes:

  1. Define business requirements.
  2. Verify correctness of the contents of the data architecture.
  3. Describe where to look for data in an organization and create required reports.
  4. Understand data management concepts and criticality of data availability in order to make reliable business decisions.
  5. Demonstrate understanding of business intelligence including the importance of data gathering, data storing, data analyzing and accessing data.
  6. Understanding the functions and data access constraints of various departments within an organization and identify reports that are crucial for intelligent decision-making
  7. Work on various analytics tools available in the market for various business functions.
  8. Participate actively in business discussions with various departments and create common reports or specific/unique reports with regard to predictive and prescriptive analytics.

I think the biggest areas that I can add to my approach and highlight in my book is the reporting piece. How to create a report and make it a living document is something a lot harder then most people think.

The Concept of Analytics

I start just about all my Power Point presentation trying to get a sense of where the audience is with their comprehension of analytics.

Per Wikipedia, the definition of analytics is simply the discovery and communication of meaningful patterns in data.

While most people have an idea of what analytics is: data, analysis, metrics, and business intelligence are just the start… it is an abstract concept that is difficult to summarize in a sentence or two.

Most business leaders know that they need more analytics based decision making in their operations, however few have figured out how to obtain it as analytics software or engaging high priced consultants doesn’t suffice.

This approach is more about empowering analytical thinking then it is teaching a technological skill. I have found that being able to harness the power of analytics is as much an art as it is a science. In the end, analytics is about three things; finding data, analyzing it and communicating the results.

Over the next several blog posts, I will take the core slides of my standard Introduction to Analytics Power Point and share the content here.

When I think of analytics and what it can do to empower people, companies and ideas, I always think of this quote:

Act Like a Recruiter, Think Like a Candidate!

I just saw this blog post title on LinkedIn and was really intrigued because one of the central points I made in a Recruitment Analytics training class recently and it was just that. It is a candidate driven job market right now in the BPO/Call Center industry here in the Philippines.

SO, I was hoping to glean some additional insights that I could blog about. However, it was just a link to a whitepaper. Which of course to get the white paper you have to sign up. And once you do that you get 2 pages and you have to then pay a fee to get the full whitepaper. I absolutely HATE this!

Im all for finding creative ways to monetize social media and digital marketing. I’m of with paying for something if it seems to be of legitimate value, but when the call to action hides the whole story it is one of the biggest marketing turn offs ever.

I’d love to see some data to back up the lost opportunity here. How many people don’t subscribe because they are turned off as well. And then is that loss made up for in the ones who do hit purchase? For a recruiting white paper? I seriously doubt it.

Call me crazy, but the best way to make money off of people online is to be transparent and upfront with costs.  Because that builds trust, which builds relationships. Going after money right away just builds a transactional relationship that easily slips away.

Back to my original point… we have entered an era of candidate driven recruiting, meaning we have to go to them not wait for them to come to us. We have to make things personal and have to meet them on their turf if we want to be successful.

So find ways to attract candidates that attract candidates to other things. What’s trending? What’s selling? What’s the big item everyone wants for Christmas? Use that to attract attention.

Once you have their attention then think like they think. They have many choices on where to work. What makes your place special? Why should they pick you? Use that to convert their interest into action.

That’s how I do it in my companies. We are always look for the best and the brightest across our consulting, training and outsourcing lines of business.

Five Things That I Ask My Leadership Team To Do

As our team continues to grow and the type of work continues to diversify, I have been reflecting a lot on the way we approach things. The way we influence those we work with, the words we choose to motivate each other and the commitment we demonstrate to ourselves, each other and our clients all have a huge impact on our success.

Leaders do more than manage. They inspire and empower. They also hold people accountable. Having worked with and for some great leaders over my career, these are the top five things I ask my leadership team to do.

  1. Do The Work. Nothing inspires others more than seeing a person in a position of authority work hard. Putting in the extra effort, making sacrifices and going above on beyond to bet things done. Excelling at what you do is the best way to get others to do the same.
  2. Sharing The Vision. I use the term sound like a broken record a lot… meaning you should share and share and share stories and ideas and dreams that give people a vision of where things are going. In this fractured world, so full of distractions, it’s really not possible overshare your vision.
  3. Carrot And Stick. I use this metaphor a lot to remind my team that we have to be equally well versed in both discipline and praise. That we need to balance being a good cop and a bad cop. Being fair and just, is in the end what all employees want from their leaders.
  4. Don’t just give directions. Explain why things are important. Looks for root causes and not just the symptoms. Take the extra time to write a more comprehensive email, or sit down and explain something a second time, or use visuals to re-enforce why we do what we do.
  5. No excuses. True leaders accept responsibility, hold themselves accountable for failures and offer up solutions to problems. Unsuccessful leaders offer explanations and excuses.

So as we kick into high gear with expansion plans, these are the things I will be doing, sharing, reminding, and educating my team about.
